In keeping with the University of Notre Dame’s mission to place scholarship in service to the common good, the Keough School advances integral human development through research, policy and practice, transformative educational programs, and partnerships for global engagement. Founded in 2014, the Keough School builds on the strengths of nine institutes and centers focused on international research, scholarship, and education.

The Keough School Program Director for Events Strategy (PDES) coordinates multi-unit planning for major events and meetings sponsored by all units of the Keough School, and oversees event and meeting planning for the Dean’s Office. The Keough School is comprised of 9 institutes and centers and the Dean’s Office, each of which plans and implements various events and activities related to their area of focus. The School also comprises over 70 faculty from diverse fields, who organize events related to their research and policy initiatives. The PDES serves as team leader for events staff in institutes and centers, and working in collaboration with Keough School faculty and administrators, the PDES develops an all-school calendar of events that coordinates major Keough School events and meetings; consults with institutes and centers staff and administrators on event planning and implementation, particularly for units that do not have dedicated events staff; and fosters greater collaboration on events between units at the Keough School. The PDES also serves as event coordinator within the Dean’s Office, where the PDES oversees planning, design and implementation of major events and meetings, and works with staff to ensure effective implementation.

Essential Duties and Responsibilities
Leadership and Strategy
– The PDES serves as a team leader for events staff throughout the School.

  • The position seeks to foster greater collaboration between institutes and centers on events. The PDES encourages the sharing of prospective event plans between units to identify opportunities to host joint events around topics such as major global affairs topics, anniversaries or designated international days
  • The PDES provides strategic oversight and coordinates planning for major School events and meetings, which may be sponsored by multiple units within the School.
  • The PDES convenes regular meetings of events personnel from all School units to provide space to share best practices and to coordinate calendars in order to avoid scheduling conflicts and maximize impact .The PDES develops an all-School major events calendar each semester listing major public events and significant meetings scheduled by each institute and center and the Dean’s Office. The calendar serves to enhance communication and coordination between units and build the School’s external reputation for excellence.
  • The PDES stays current on trends in the field of event management and shares best practices and innovations as necessary.

Dean’s Office Public Events - The Keough School Dean’s Office organizes high profile public lectures, panels, and other events each year, as well as occasional conferences, seminars, meetings and special events, with a particular focus on policy-engaged events spearheaded by the Global Policy Initiative (GPI) and the Keough School Advisory Council. The PDES works with the Dean’s Office leadership to coordinate the preliminary planning and design of events and serves as the Dean’s Office point of contact on collaborative events.

  • The PDES plans the bi-annual meetings of the Keough School Advisory Council, in close coordination with the Academic Advancement Director and the Dean’s Administrator.
  • The PDES is an ad-hoc member of the GPI executive committee; serving as a resource on budget and logistics planning for faculty who are preparing proposals to GPI or other external sources that involve events.
  • The PDES serves as a campus resource for the Washington Office by providing information and advice to units that make use of the Washington Office for events and meetings.
  • The PDES works closely with the Academic Programs to support the planning and execution of events such as Admitted Student Day, Welcome Weekend, and events for graduating students.
  • The PDES works in collaboration with the Director of Communications and Marketing to coordinate the dissemination of publicity and communications regarding Dean’s Office events.
The PDES has primary responsibility for planning and implementing Dean’s Office events. In doing so, the PDES will collaborate closely with Dean’s Office staff and faculty, and occasionally rely on the assistance of the Senior Office Coordinator, who devotes a portion of time to providing support for major events. The PDES will also collaborate with Notre Dame Global Center colleagues and other international venues when planning and implementing events taking place internationally.

Advising, Training and Mentoring – The PDES will serve as advisor to staff and faculty members who are planning events (funded through internal or external grants) with respect to scheduling, budgeting, and practical implementation issues, particularly for events taking place away from campus.
  • This critical advising role will include assessing the feasibility of the event based on available financial, human and space resources.
  • The PDES also provides advice on the planning and implementation of events and meetings to institutes and centers that request it, giving particular attention to those that do not have dedicated events staff.
Manage Jenkins Nanovic Halls Space Scheduling – The PDES is the primary point of contact for the Jenkins Nanovic Halls space use and the primary approver for the building in the University EMS space management system.
  • The PDES prioritizes and approves request for space use submitted by users of the Keough School, the College of Arts and Letters, and other units from across campus.
  • The PDES coordinates transitions between events and secures operating functions as needed for events (e.g., HVAC functioning outside of normal working hours, building locks, etc.)

Visitor Hosting and Support – The Keough School Dean’s Office welcomes visitors who visit the South Bend campus or the Washington Office for periods ranging from a week to a semester or academic year. The PDES serves as the coordinator of the visit and as the primary point of contact during the visitor’s stay. Working closely with the Dean’s Administrator and other Dean’s Office colleagues,
  • The PDES ensures the timely completion of all pre-arrival processes (e.g., invitation letter, appointment, visa applications, etc.)
  • The PDES organizes the logistics of the visitor’s stay (e.g., travel, lodging)
  • The PDES coordinates the visitor’s schedule as needed (e.g., itinerary, organization of meetings with Notre Dame faculty and staff).
  • The PDES oversees all aspects of off-campus furnished apartments leased by the Dean’s Office, including renewal of lease and payment of utilities, scheduling of apartment assignments to different visitors throughout the year, coordinate of cleaning services between uses, and general oversight of apartment maintenance, appearance and accessories.
The PDES reports to the Director of Administration and Finance.

Minimum Qualifications

Education: Bachelors Degree
Years of Experience: 5-6 Years
  • Experience in planning and implementing a wide diversity of events (small private meetings to large public hybrid events)
  • Experience in setting strategies, priorities and processes around the planning and scheduling of events
  • Familiarity with multi-cultural and international events, participants, collaborators, and venues
  • Familiarity with academic events and conferences
  • Experience hosting and working with high-profile guests requiring special accommodations.
  • Excellent communications skills, both verbal and written
  • Attention to detail, and the ability to prioritize and multi-task with little supervision, while at the same time working collaboratively with faculty, staff and guests.
