PULSE Lab Coordinator
Job Description
The PULSE Lab is looking for a responsible PULSE Lab Coordinator to perform a variety of administrative and clerical tasks.
Specific Duties & Responsibilities
- Provide support to the lab director and members
- Assist in daily office needs
- Manage general administrative activities
- Make travel and meeting arrangements
- Prepare reports
- Maintain appropriate filing systems
Scheduling
- Calendar scheduling
- Invited talk scheduling
- Event scheduling
- Visitor meeting scheduling
- Keeping track of hours committed to various activities
- Send reminders
Document Preparation
- Prepare administrative documents for grant submission (budget justification, animal welfare, IRB protocols)
- Grant report preparation
- Print course exams
- Create and update lab manual
Travel Assistance
- Conference registration
- Reimbursements
Proofreading
- Grants
- Papers
Publicity
- Website and social media posts/updates
- News reports
- Website updates
Financial Assistance
- Keep track of charges to lab director's accounts
- Purchasing assistance
- Quote requests
- Budget projections
- Assistance with completing progress reports
Mid-level management interfacing with lab director and students/external stakeholders
- Animal Protocol management and responding to inquiries
- IRB Protocol management (continuing reviews, study reports)
- Manage director’s to-do lists
- Manage Bibtex file of PULSE Lab publications
- Keep running list of PULSE Lab projects and collaborations
- Lab safety sheets
- Lab inspections (be present)
- Maintain list of awards cited in each publication (helpful for progress reports)
- On board new students and postdocs
- Manage computers
- Regularly update laboratory access
Recruiting & Admissions Assistance
- Respond to grad student inquiries about joining the PULSE Lab
- Compile and respond to undergrad student inquiries
- Screening admissions applications
Grant Preparation Assistance
- Find NH POs and potential study sections
- Email POs about appropriateness of ideas
Special Knowledge, Skills, & Abilities
- Proficiency in MS Office (e.g., Excel, Word, PowerPoint).
- Excellent time management skills and the ability to prioritize work.
- Attention to detail and problem-solving skills.
- Excellent written and verbal communication skills.
- Strong organizational skills with the ability to multi-task.
Minimum Qualifications
- High School Diploma or graduation equivalent and some college course working the Biological Sciences, with Bachelor's degree preferred.
- One year of related laboratory experience.
- Additional education may substitute for experience to the extent permitted by the JHU equivalency formula.
* JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.
Preferred Qualifications
- Bachelor's Degree.
