Program Coordinator

Job Description

PROGRAM COORDINATOR, School of Science (SoS), to perform complex and diverse administrative duties in support of the SoS diversity, equity, and inclusion (DEI) function.  Will provide advanced-level administrative support for the assistant dean of DEI and the school’s DEI programs. Responsibilities include managing the assistant dean's calendar; ensuring prioritization of the team’s activities and time; administering the SoS Dean’s Fellowship, DEI Service Fellowship, and Postdoctoral Fellowship programs, including database maintenance, drafting award letters, corresponding with SoS departments/faculty about selections, fielding inquiries from fellows and serving as their point of contact, organizing events, website maintenance, etc.; coordinating the SoS presence at the annual SACNAS conference, reaching out to MIT partners, booking exhibition booths, coordinating staffing, collaborating on developing content (flyers), following up with attendees interested in SoS programs, disseminating attendee information to relevant departments, maintaining attendee database for soliciting applications, etc.; administering the Quality-of-Life Grants Program, reviewing applications, drafting award letters, answering questions, and updating website; organizing the Black Lives Matter Book Club bimonthly meetings, including scheduling, refreshments, and reimbursements; organizing dean’s lunch with SoS grad student leaders; organizing other ad-hoc DEI events; and performing other duties as assigned.  

Job Requirements:
REQUIRED:  bachelor's degree; at least two years’ project/program management experience; excellent organizational, interpersonal, collaboration, project management, customer service, and oral and written communication skills; experience designing and implementing high-quality activities/programs/services; ability to both work autonomously and establish and maintain effective and cooperative working relationships with others, troubleshoot problems, follow through on tasks, and respond to inquiries/requests in a timely manner; proficiency with MS Office and other office software; good judgment with confidential information; and meticulous attention to detail.  Job #23803-6
